This guide covers organizational workflow only. Requirements vary by jurisdiction and matter. It is not legal, insurance, coverage, public-adjusting, financial, or compliance advice.

Verify the event before mobilizing

Review authoritative weather, emergency, declaration, and local reporting sources, then identify the counties, ZIP codes, or territories that may be relevant.

Separate confirmed reports from forecasts and model output. Event intelligence should guide prioritization, not replace field verification or professional judgment.

  • Source and timestamp recorded
  • Affected territory reviewed
  • Forecast separated from reports
  • Safety information checked
  • Internal event owner assigned

Create one storm workspace

Connect the affected area, canvassing list, intake link, QR materials, related leads, claims, and team assignments under one event instead of building separate spreadsheets.

Record why an opportunity was associated with the event. Geography and timing do not establish cause, coverage, or claim validity.

  • Storm workspace and territory
  • Canvassing list
  • Dedicated intake campaign
  • Related leads and claims
  • Source and association notes

Control intake, capacity, and field work

Track leads needing contact, scheduled inspections, assigned files, and overdue follow-ups. Set limits based on field staff, office support, documentation capacity, and existing clients.

Field users should open the correct claim, upload evidence, add notes, create tasks, and update the office from a phone. Afterward, review conversion, workload, documentation gaps, and bottlenecks.

  • Lead response owner
  • Inspection capacity
  • Duplicates reviewed
  • Mobile updates connected
  • Post-event review completed
